We setup a Memat web interface to your own Preservatio digital repository using your branding to integrate with your website and load your digitised and born digital archive to it. The completed digital archive sits on a subdomain of your primary institutional website and can be fully integrated with your organisations existing web presence.

Hosting and support of the digital archive in Africa Media Online’s Preservatio digital repository system for the entire contract period.

Stay up to date with your digital archiving each year with annual processing of the previous year’s production of born-digital files – photographs, video, audio and published material.

A single monthly payment calculated in a bond calculator over up to 20 years.

Past digitisation projects and existing digitised material is taken into account, credited to you and reduces the monthly charge.

At the end of the contract period, the agreement automatically changes to the Born-Digital Solution (see below) to ensure your digital repository is still supported and you keep up to date with digital archiving. The Born-Digital Solution is renewable on an annual basis.

The next step is to identify a project that is manageable as a pilot project. Usually this will involve material that has wide appeal to your audience so that you can get the community on board with the benefits of building a digital archive.

There is little use in digitising and only one person at a time is able to access the material. That is what happens if it simply remains on a single hard drive. Both for preservation and access purposes, the digitised material should be put into a digital repository where your audience around the world can access it in a secure way.

An assessment of your archive can be done all at once and our team can do that for you. Usually, however, such an archival assessment is done each year on the subset of material that you want to have digitised. This gets us to the point where we can quote accurately on the cost of undertaking the project.

Establishing your annual budget is an important step as it establishes a commitment to building the digital archive consistently. It doesn’t really matter how large or small that budget is, all that does is determine the speed at which the work can be undertaken. The important thing is that there are resources for a consistent effort to preserve and to promote your heritage.

With the budget in place, a plan can be made to digitise analogue collections or process born-digital collections in keeping with what the budget can manage. This plan is a collaboration with us often proposing it after consultation with you and you signing it off once you are happy.

If you already have your pilot project in mind, the first step would be for us receive and inventory of that material from you or for us to create the inventory on your behalf.
